Privacy Policy

Truck Me Pty Ltd is committed to protecting your privacy. This Policy explains what personal information we collect, why we collect it, and how we protect it. We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. What Data We Collect

Account & Profile

  • Email address and full name (required at registration)
  • Phone number (optional)
  • Vehicle profiles: truck type (B-Double, Road Train, PBS, etc.), dimensions, axle configuration, weight, registration number and state
  • Fleet organisation details: business name, ABN, contact email (fleet admins only)
  • Terms and privacy acceptance timestamp (recorded at registration)

Trip & Logbook Data

  • Trip logs: departure and arrival time, distance, start and end location names, load description, notes
  • Rest break duration and timing
  • Odometer readings (where manually entered)
  • Logbook tier selection and reminder settings

Location Data

  • During active routing: Precise GPS coordinates are used in real time to calculate your position on the route, trigger speed alerts, and fire bridge height warnings at the correct distance. This location is not stored beyond the active trip session unless you have logbook tracking enabled.
  • Route waypoints: Origin, destination, and intermediate points you enter for trip planning are stored as part of saved routes and logbook entries.
  • Fleet location tracking: If you are a member of a fleet and a fleet administrator has enabled live tracking, your position during active trips may be visible to the fleet admin in real time. This requires your opt-in and can be disabled at any time in Settings. We do not retain fleet location data beyond the active session unless the enterprise history feature is enabled by the fleet admin and you have explicitly consented to it.
  • Offline map regions: The geographic area of map tiles you download for offline use is stored locally on your device. We do not transmit offline region selections to our servers.

Community & Incident Reports

  • Incident reports you submit: type, GPS location, severity, optional description
  • Confirmations and dismissals you submit on others' reports
  • Route quality reports and segment feedback

Incident reports are shared with all Truck Me users. Your name is not attached; only report content and location are visible.

Payment Information

  • Subscription tier and billing status. Payment processing is handled entirely by Stripe, we do not store or have access to full payment card details.
  • Billing address and purchase history

Device & Usage Data

  • Device type, OS version, app version
  • Crash logs and error reports
  • Feature usage analytics (screens visited, feature frequency) to improve the app

2. How We Use Your Data

  • Routing & navigation: Calculate vehicle-specific routes using NHVR network data, apply road access rules, display network overlays, and trigger speed limit and bridge height alerts.
  • Logbook features: Record trips, rest breaks, and odometer readings for compliance and export.
  • Fleet management: Allow fleet administrators to view driver activity, assign vehicles, and (with driver consent) monitor live locations.
  • Incident system: Aggregate and broadcast real-time road events (closures, hazards, weight restrictions) to nearby drivers.
  • Route intelligence: Compare NHVR-approved routes with unrestricted routes to identify suboptimal segments.
  • Service improvement: Analyse usage patterns and crash logs to improve performance and reliability.
  • Billing: Manage subscriptions and process payments via Stripe.
  • Communications: Send service updates, security alerts, and (where you have opted in) promotional messages.
  • Legal compliance: Meet our obligations under Australian law and enforce our Terms of Service.

3. Location Tracking

Location tracking is central to Truck Me's routing, speed alert, and bridge warning features. Here is exactly how it works:

  • Standard users: Location is accessed only while the app is active and you are navigating. We use background location permission solely to maintain routing continuity if you switch apps mid-trip. Your location is not stored beyond the active trip session (unless logbook tracking is enabled).
  • Logbook tracking tier: If you select the "Tracking" logbook tier, GPS waypoints are recorded throughout your trip and stored as part of your trip log for up to 2 years. You can delete individual trips at any time.
  • Fleet location tracking: This feature is disabled by default. It can only be enabled if: (a) a fleet administrator enables it for the fleet, and (b) you, as the driver, opt in via Settings. Once enabled, your live location is visible to your fleet admin during active trips. You can disable tracking at any time; it takes effect immediately. Fleet real-time location data is not retained beyond the session unless the optional enterprise history feature is explicitly enabled by the fleet admin and consented to by you.

You can revoke location permission at any time in your device Settings, though this will disable navigation features.

4. Data Sharing

We do not sell your personal data. We share information only in the following circumstances:

Service Providers

  • NHVR API: Route requests are sent to the NHVR routing service to calculate approved heavy vehicle routes. We do not send personally identifying information to NHVR, only routing parameters (origin, destination, vehicle type).
  • Mapbox: Map tiles, vector tiles, offline downloads, and directions data. See Mapbox Privacy Policy.
  • Stripe: Payment processing. We share billing information with Stripe. See Stripe Privacy Policy.
  • Firebase Cloud Messaging (Google): Push notifications (incident alerts, route change alerts). FCM receives a device token; no location or trip data is shared. See Firebase Privacy Policy.
  • AWS / GCP: Cloud hosting and database infrastructure. Data is stored in Australian regions where available.

Legal Disclosure

We may disclose personal information if required by law (e.g., court order, subpoena, regulatory request) or to protect our legal rights and the safety of users or the public.

Business Transfer

If Truck Me is acquired or merges with another entity, your data may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.

5. Data Retention

  • Account data: Retained while your account is active. On account deletion, your personal data is anonymised within 30 days. Some records (billing history) may be retained longer to meet legal obligations.
  • Trip logs: Retained for up to 2 years from the date of the trip, or until you delete them, whichever comes first.
  • Fleet real-time location data: Not retained beyond the active session. Enterprise location history is opt-in only and subject to its own retention settings configured by the fleet admin.
  • Incident reports: Auto-expire 7 days after creation unless confirmed by other users. Confirmed incidents are retained for up to 30 days.
  • Backups: Deleted data may persist in encrypted backups for up to 90 days before permanent deletion.
  • Terms acceptance: The timestamp of your acceptance of these Terms at registration is retained for the life of your account and for 7 years after account deletion for legal compliance purposes.

6. Your Rights

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the right to:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Ask us to correct or update inaccurate or out-of-date information.
  • Deletion: Request deletion of your account and associated personal data, subject to legal retention requirements.
  • Opt-out: Disable push notifications, location access, fleet tracking, and analytics in the app Settings at any time.
  • Complaint: If you believe we have mishandled your personal information, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

7. Security

We use TLS/SSL encryption for all data in transit. Passwords are stored using bcrypt. Access to production data is restricted to authorised personnel. However, no system is entirely secure, if you believe your account has been compromised, contact privacy@truckme.au immediately.

8. Children's Privacy

Truck Me is designed for commercial heavy vehicle drivers aged 18 and over. We do not knowingly collect personal information from minors. If we discover we have done so, we will delete it promptly.

9. International Data Transfers

Your data is primarily stored in Australia. Some service providers (Mapbox, Firebase, Stripe) may process data in other countries. By using Truck Me, you consent to this cross-border transfer. We take reasonable steps to ensure overseas recipients handle data in a manner consistent with the Australian Privacy Principles.

10. Governing Law

This Privacy Policy is governed by the laws of Queensland, Australia. Any disputes relating to privacy are subject to the jurisdiction of the courts of Queensland, without prejudice to your right to complain to the OAIC.

11. Changes to This Policy

We may update this Policy periodically. We will notify you of material changes via email or in-app notification at least 14 days before they take effect. Your continued use of the Service after changes constitutes acceptance of the updated Policy.
